Sona Meeting Room connects meeting rooms to a calendar system and a door panel, shows availability on the panel and lets you book, extend or end a meeting there, and writes each room's status to KNX points on the automation server.
What it does
In most buildings a room's availability is unclear; no one at the door knows whether it is free. Sona Meeting Room links each room to a calendar and brings its status to the door panel. The panel shows whether the room is free or busy, plus the current and next meeting. Anyone at the door can book, extend or end a meeting from the panel.
Which calendars it works with
The app reads calendars from Google Calendar, Microsoft 365 and on-premises Exchange. In buildings without a calendar system, meetings are entered into the device's local calendar from the admin page. One of these sources is chosen per building. An on-premises Exchange connection needs a service account with multi-factor authentication turned off.
What the door panel shows
The panel shows the room name, its free or busy state, the time and your logo. The current meeting, the next meeting, the day's schedule and a weekly view are separate screens. Each room runs in “display only” or “display and booking” mode. A SonaHMI touch panel or any web browser is used at the door.
How it connects to automation
Each room maps to its own KNX points on the automation server. Occupancy, time until the next meeting, daily and weekly counters and the health of the calendar link are read over KNX. With these points, lighting, climate and blinds follow the room's occupancy. If the calendar link drops, an alarm is raised through Alert Plus.
How it uses Google Calendar data
When you connect with Google, the app reads your calendar list to select rooms, and reads up to eight days of meetings on the selected room calendars: title, time, organizer and attendee count. Attendee names are not shown on the panel. Booking from the panel writes a new event; extending or ending changes only the end time. Events are never deleted and no invitations are sent. This data stays only on your own automation server; it is not sent to Sona's servers or third parties, not used for advertising and not sold. You can revoke access from your Google account at any time.
Frequently asked questions
Does it work without internet?
Yes. In local calendar mode no external account or internet is needed; meetings are entered from the admin page, and the panel and KNX work the same way.
How many rooms can it manage?
One automation server manages up to twenty rooms. Each room has its own panel, its own calendar and its own KNX points.
Where does Google data go?
Nowhere. Calendar data stays only on your device; it is not sent to Sona or third parties. You can revoke access from your Google account at any time.
What does on-premises Exchange need?
An EWS address and a service account with multi-factor authentication turned off. Modern authentication is not supported on this connection.
Which languages does it run in?
The interface, door panel, admin page and alarm texts are available in many languages; Arabic is shown right to left.
Sona Meeting Room is included in the BMS license and is installed from the store in Sona Application Center.
The app runs on a Sona BMS automation server; a SonaHMI touch panel is used at the door.
